derm360º® Terms of Service

By booking a service with derm360º®, you agree to the following Terms and Conditions. These policies ensure fairness, maintain clinical standards, and provide a safe, professional experience. These terms are enforced at the discretion of derm360º.

1. General

1.1 Enforcement
1.1.1 All terms and conditions are strictly enforced except in extenuating circumstances at derm360º’s sole discretion.

1.2 Refunds
1.2.1 Refunds, where applicable, will be processed to the original payment method within 7–14 days.

1.3 Right to Refuse Service
1.3.1 derm360º reserves the right to refuse or terminate services if:

  • 1.3.1.1 Policies are not followed

  • 1.3.1.2 Unsafe or abusive behaviour occurs

  • 1.3.1.3 Client information is incomplete, inaccurate, or withheld

  • 1.3.1.4 Treatments fall outside derm360º insurance coverage

  • 1.3.1.5 You arrive to your appointment unfit or unwell

1.3.2 Clients are liable for 100% of the service cost if the appointment is cancelled under these conditions.

1.4 Force Majeure
1.4.1 Events beyond derm360º’s control, including illness, travel disruption, laboratory delays, natural disasters, power outages, IT failures, or other unforeseen circumstances, may require rescheduling.
1.4.2 derm360º will communicate changes promptly.
1.4.3 derm360º is not liable for losses arising from such events.

1.5 Treatment Plan Modifications
1.5.1 derm360º may modify treatment plans, protocols, services, or terms at any time. Updates apply at the time of booking.

1.6 Payment
1.6.1 Accepted methods include card, cash, Stripe, or other approved methods.
1.6.2 Non-payment may result in appointment cancellation.
1.6.3 Clients cancelled for non-payment may be prohibited from rebooking.

1.7 Data and Privacy
1.7.1 Client information, including photographs, will be handled in accordance with UK data protection regulations.
1.7.2 Clients consent to collection, storage, and use of personal and clinical information for medical documentation, treatment planning, and, where consent is given, marketing purposes.
1.7.3 derm360º is not liable for data breaches outside reasonable control.

1.8 Liability and Indemnity
1.8.1 Clients accept that outcomes may vary and agree to indemnify derm360º except in cases of proven practitioner negligence or breach of duty of care.
1.8.2 Clients are responsible for adherence to instructions, disclosure of relevant medical information, and use of products as directed.

1.9 Illness and Infection Control
1.9.1 Clients must notify derm360º immediately if experiencing symptoms of contagious illness.
1.9.2 Appointments may be converted to online consultations where appropriate.
1.9.3 Failure to notify while attending an appointment unwell may result in cancellation without refund.

1.10 Patch Testing and Product Use
1.10.1 All new skincare products must be patch tested for 24 hours as instructed.
1.10.2 Clients must follow product instructions exactly. Incorrect use, overuse, underuse, or combining products contrary to guidance may cause irritation, adverse reactions, or lack of progress.
1.10.3 derm360º is not liable for outcomes impacted by client error, non-compliance, or failure to patch test.

2. Booking and Payments

2.1 Prepayments and Retainers
2.1.1 All retainers and prepayments are non-transferable and non-refundable except as specified in this policy and as required by UK consumer law.
2.1.2 Prepayments cannot be applied to another individual or service.

2.2 Failure to Pay
2.2.1 Appointments may be cancelled and future bookings refused if retainers or outstanding balances are not paid in full.

2.3 Rescheduling and Cancellations for Standard Services
2.3.1 Clients may reschedule once without fee if done 72 hours or more before the appointment.
2.3.2 Subsequent reschedules, even if 72 hours or more, may incur additional fees at derm360º’s discretion.
2.3.3 Rescheduling within 72 hours requires a new booking and full payment.
2.3.4 Cancellation 72 hours or more before the appointment: no fees apply for standard services.
2.3.5 Cancellation within 72 hours: non-refundable.
2.3.6 Missed or late appointments: clients are liable for 100% of the service cost regardless of prepayment. Partial attendance does not reduce liability.

2.4 Notice for 360º Consultations and Testing
2.4.1 The rules for booking, rescheduling, cancellations, and sample submissions for 360º consultations and testing differ from standard service rules.
2.4.2 Clients must read Section 3 carefully for specific terms, fees, and deadlines.

3. 360º Consultations and Testing

3.1 Important Notice
3.1.1 Booking, rescheduling, cancellations, and sample submission rules for 360º consultations and testing differ from standard services in Section 2.

3.2 Scheduling
3.2.1 Appointments are scheduled based on timely receipt of client samples.
3.2.2 All prepayment, retainer, and cancellation rules specific to 360º consultations take precedence over standard service rules.

3.3 Rescheduling
3.3.1 Clients may reschedule 360º consultations or testing without fee if done 72 hours or more before the scheduled appointment.
3.3.2 Rescheduling within 72 hours incurs a £50 fee.
3.3.3 Late submission of samples requiring rescheduling may also incur the £50 fee unless the laboratory confirms delays beyond standard processing times (2 days for blood testing; 14 days for stool testing).

3.4 Cancellations
3.4.1 Cancellation 72 hours or more before the appointment:

  • 3.4.1.1 If a 50% retainer has been paid, it will be forfeited.

  • 3.4.1.2 If the full amount (100%) has been prepaid, only 50% of the total payment will be refunded to the original payment method.
    3.4.2 Cancellation within 72 hours of the appointment: non-refundable.

3.5 Late Sample Submissions
3.5.1 Failure to submit samples by the specified date may result in delayed results and rescheduled appointments subject to the £50 fee unless caused by laboratory delays beyond standard processing times.

3.6 Lab Testing Disclaimer
3.6.1 derm360º provides testing through approved laboratories.
3.6.2 Proper handling and interpretation are ensured, but derm360º is not liable for laboratory errors or delays.
3.6.3 Results are used to inform wellness-based recommendations and do not constitute a medical diagnosis or treatment plan.

4. Skin Consultancy Services

4.1 Purpose of Service
4.1.1 Recommendations are based on publicly available research and client-reported symptoms.
4.1.2 Information is educational and wellness-focused only. Clients are responsible for all health decisions and must seek medical advice where appropriate.

4.2 Client Responsibilities
4.2.1 Clients must disclose all relevant medical conditions, allergies, intolerances, and medications.
4.2.2 Clients must seek medical clearance before supplements or lifestyle changes if required.
4.2.3 Clients are responsible for following instructions and accepting outcomes.

4.3 Product Use and Reactions
4.3.1 Patch testing is required for all new products. Temporary reactions may occur.
4.3.2 derm360º is not liable for outcomes from incorrect use, undisclosed conditions, or non-compliance.

4.4 Progress, Photos, and Records
4.4.1 Clinical photographs may be taken for medical, insurance, and progress tracking.
4.4.2 Marketing use requires written consent.
4.4.3 Records are retained for six months after the final check-in, unless longer retention is required by law.

4.5 Communication and Follow-Up
4.5.1 WhatsApp support is for brief queries only for active clients with ongoing plans.
4.5.2 Detailed progress assessments or changes require a chargeable check-in.
4.5.3 Free check-ins are offered 4–6 weeks after the initial consultation; outside this window, standard fees apply.

4.6 External Treatments
4.6.1 derm360º is not responsible for reactions caused by external products, procedures, or advice from other practitioners.
4.6.2 External treatments may interfere with results and may lead to termination of the plan without refund.

4.7 Termination
4.7.1 Plans may be terminated if:

  • 4.7.1.1 False or incomplete information is provided

  • 4.7.1.2 Instructions and aftercare are repeatedly not followed

  • 4.7.1.3 Abusive or inappropriate conduct occurs

  • 4.7.1.4 External services compromise insurance compliance
    4.7.2 No refunds or transfers apply if terminated for breach of policy.

5. Clinical Treatments and Cosmetic Procedures

5.1 Eligibility and Legal Requirements
5.1.1 Clients must be 18 or over and provide valid photo identification.
5.1.2 derm360º may refuse treatment if ID is not provided, the client appears intoxicated or aggressive, or safety standards cannot be met.
5.1.3 No refund will be issued in these circumstances.

5.2 Consultation, Medical Disclosure, and Consent
5.2.1 Full consultation and disclosure of medical history, medications, allergies, previous procedures, pregnancy status, or health changes is required.
5.2.2 Failure to provide accurate information may result in treatment refusal and loss of payment.

5.3 Treatment Safety, Risks, and Limitations
5.3.1 All treatments carry risks such as swelling, bruising, redness, tenderness, infection, allergic response, or temporary or prolonged side effects.
5.3.2 Results cannot be guaranteed due to individual variability.
5.3.3 Additional treatment or units for aesthetic preference are chargeable unless clinically required.

5.4 Clinical Refusal and Contraindications
5.4.1 Treatment will be refused or delayed if:

  • 5.4.1.1 Client is pregnant, breastfeeding, planning pregnancy, or medically unsuitable

  • 5.4.1.2 Active skin irritation or infection

  • 5.4.1.3 Recent cosmetic treatments without recommended spacing

  • 5.4.1.4 Intoxication or failure to follow pre-treatment instructions

5.5 Aftercare and Client Responsibility
5.5.1 Clients must follow post-treatment instructions.
5.5.2 derm360º is not responsible for adverse outcomes caused by ignoring aftercare, external treatments, or lifestyle factors.

5.6 Results, Follow-Up, and Reviews
5.6.1 Injectable results may take up to two weeks.
5.6.2 Review appointments are offered when clinically indicated and are not guaranteed top-ups.
5.6.3 Corrections due to practitioner error are free if reported within two weeks.

5.7 Refunds
5.7.1 Completed treatments are non-refundable except in cases of proven practitioner negligence.
5.7.2 No refunds for dissatisfaction with expected outcomes, preference changes, or refusal due to undisclosed conditions.

5.8 Clinical Photography and Data
5.8.1 Photographs are mandatory for medical, legal, and insurance documentation.
5.8.2 Marketing use requires written consent.
5.8.3 Records are securely stored in accordance with data protection regulations.

6. £10 Redemption Voucher

6.1 Redeemable once on purchases of £100 or more with proof of Google review.
6.2 Issuance is at derm360º discretion and may be withdrawn.
6.3 Cannot be combined with other offers unless specified.

7. Governing Law and Dispute Resolution

7.1 These Terms are governed by English law.
7.2 Any disputes shall first attempt to be resolved through mediation.
7.3 Legal proceedings shall be brought exclusively in the courts of England and Wales.
