Terms of Service
By booking a service with derm360º®, you agree to the following Terms and Conditions. These policies exist to ensure fairness, protect clinical standards, and maintain a safe, professional experience for all clients. These terms are enforced upon derm360º's discretion.

1. General

Enforcement: All terms and conditions are strictly enforced, except in extenuating circumstances at derm360º’s sole discretion.

Refunds: Refunds (where applicable) will be processed to the original payment method within a reasonable timeframe, typically 7–14 days.

Right to Refuse Service: derm360º reserves the right to refuse or terminate services if:
-
policies are not followed,
-
unsafe or abusive behavior occurs,
-
client information is incomplete, inaccurate, or withheld,
-
treatments fall outside derm360º insurance coverage.

Force Majeure: Events beyond derm360º’s control (e.g., illness, travel disruption, laboratory delays, natural disasters) may require rescheduling. Fees will apply according to the standard cancellation/rescheduling rules.

Treatment Plan Modifications: derm360º reserves the right to modify treatments, plans, or terms at any time. Updates will apply at the time of booking.

Payment: Accepted via card, cash, Stripe, or other approved methods. Failure to pay may result in appointment cancellation; in such cases, clients will not be allowed to rebook.

Data & Privacy: Client information, including photographs, will be handled in accordance with UK data protection regulations. See our Privacy Policy for further details.

Liability: If derm360º must cancel your appointment due to staff illness or equipment failure, you may reschedule at no charge.
2. Booking Payments
-
Retainers and prepayments are non-transferable and cannot be refunded once payment is made, except as specified in this policy and where required by UK consumer law.

Prepayments cannot be moved to a different individual or service.
-
All prepayment, retainers, and cancellation rules take precedence based on the type of service booked.
2.1. Failure to Pay
-
If retainers or outstanding balances are not paid in full when requested, your appointment may be cancelled and future bookings refused.
2.2. Rescheduling:
-
You may reschedule your appointment once without fees if done ≥72 hours before your appointment.
-
Repeated reschedules beyond the first free reschedule, even if ≥72 hours, may be subject to additional fees at the discretion of derm360º (see Section 3.1.).
-
Rescheduling within 72 hours of your appointment requires a new booking and full payment.
-
Rescheduling rules apply to both prepaid services and retainers.
2.3. Missed or Late Appointments:
-
Please only arrive at the time specified in your booking confirmation, we are unable to accomodate for early arrivals.

There is a 10 minute grace period. The grace period is measured from the scheduled appointment start time shown in your confirmation email. After the grace period, the booking is classed as missed, you are still liable to pay 100% for the service.

Prepaid services: Payment is forfeited and non-refundable.
-
Not prepaid: You are liable to pay 100% of the appointment cost.
-
Partial attendance does not reduce liability, full payment is required for any service.
2.4. Cancellations
-
Cancellation ≥72 hours before your appointment: no fees applied.
-
Cancellation within 72 hours of your appointment: non-refundable.
-
Repeated early cancellations (≥72 hours) may be subject to fees at derm360º discretion.
3. 360º Consultations & Testing:
-
Consultations are scheduled based on receiving your test results on time. The sample must be submitted by the date specified in your email.
-
All prepayment, retainers, and cancellation rules take precedence based on the type of service booked.
3.1. Late sample submissions:
-
If you fail to send your sample on the date specified in your email, resulting in delayed results and a rescheduled appointment, an additional £50 rescheduling fee will apply.
-
This fee will be waived if lab confirms delay beyond standard processing times (2 days for blood testing; 14 days for stool testing).
3.2. Cancellations:
-
Cancellation ≥72 hours before your appointment:
-
If 50% retainer has been paid: loss of 50% retainer.
-
If the service was prepaid, you are eligible for a 50% refund to the original payment method.
-

Cancellations within 72 hours of your appointment: non-refundable.
4. Skin Consultancy Services
Applies to all advise-based services including consultations check-in appointments.
4.1. Purpose of Service
-
All recommendations provided by derm360º are based on publicly available research and client-reported symptoms.
-
Information is educational and wellness-focused only and does not diagnose, treat, cure, or prevent any medical condition.
-
Suggestions regarding supplements (including hormonal, nutritional or botanical products) are general and must not replace medical advice from a qualified doctor.
-
Clients are responsible for their own health decisions and for disclosing all relevant health information during consultations.
4.2. Client Responsibilities
Clients agree to:

Inform derm360º of all relevant medical conditions, allergies, intolerances, and medications prior to and during their plan.
-
Seek medical clearance before taking supplements or making changes if they have existing health conditions or take medication.
-
Accept full responsibility for their own health decisions.
-
Follow the skin protocol as instructed (incorrect use may lead to reactions and does not qualify for refunds).
4.3. Product Use & Reactions

New skincare products must be patch tested for 24 hours behind the ear before full use.
-
Clients understand that changes in routine may cause temporary reactions.
-
derm360º is not liable for adverse outcomes caused by:

Incorrect use of products
-
Failure to follow instructions
-
Undisclosed medical conditions or other client negligence.
-
4.4. Progress, Photos & Records
-
Photos may be taken for insurance and progress tracking.
-
Clients may opt out of marketing use in writing; however, clinical documentation may still require photographic evidence.
-
All records and materials are stored for 6 months after your final check-in, after which they will be securely deleted.
4.5. Communication & Follow-Up
-
WhatsApp support is available only for quick questions for active clients with an ongoing plan.
-
In-depth queries, reactions, progress assessments or routine changes require a chargeable check-in appointment.
-
The free check-in window is 4–6 weeks after your initial consultation. Any check-in outside this period is chargeable at the standard rate.
4.6. External Treatments
-
derm360º cannot be held responsible for reactions resulting from products, procedures or advice received from other clinics or practitioners during your plan.
-
Such external treatments may interfere with your results and may lead to termination of your plan and loss of remaining services without refund.
4.7. Termination:
Your plan may be terminated, and future appointments cancelled if:
-
false, incomplete or inaccurate information is provided,
-
instructions and aftercare are repeatedly not followed,
-
abusive or inappropriate conduct occurs,
-
external services or products compromise insurance compliance.
No refunds or transfers apply if a plan is terminated due to breach of policy.
5. Clinical Treatments (including cosmetic injectables)
5.1. Eligibility & Legal Requirements:

Clients must be 18+ and present valid photo ID at consultation or treatment.
-
derm360º reserves the right to refuse treatment if you cannot provide ID, appear intoxicated, aggressive, unsuitable for treatment, or if safety standards cannot be met. No refund will be issued in these circumstances.
5.2. Consultation, Medical Disclosure & Consent
-
A full clinical consultation must be completed before any injectable or advanced treatment.
-
Clients must provide full, accurate and updated medical history, including medications, allergies, previous cosmetic procedures, pregnancy status, or any health changes.
-
Failure to disclose accurate information may result in cancelled or refused treatment without a refund, and derm360º is not liable for adverse reactions caused by undisclosed conditions.
-
Clients consent to necessary medical communication, including where required sharing relevant details with the prescribing clinician for safe and legal treatment.
5.3. Treatment Safety, Risks & Limitations

All treatments carry risks such as (but not limited to): swelling, bruising, redness, tenderness, headaches, asymmetry, infection, allergic response, and temporary or prolonged side effects.

Clients must notify derm360º immediately of any post-treatment complications; failure to do so may affect liability coverage.
-
derm360º uses evidence-based practice and will take appropriate medical steps to reduce risk; however, results cannot be guaranteed due to individual anatomy, lifestyle, and body response.
-
Additional treatment or units for aesthetic preference are chargeable, unless clinically required on medical grounds.
5.4. Clinical Refusal & Contraindications
Treatment will be refused or delayed without refund if:

You are pregnant, breastfeeding, planning pregnancy, or medically unsuitable
-
You have an active skin irritation, infection, or cold sore
-
You have undergone other cosmetic or skin treatments without the recommended spacing
-
You arrive intoxicated or under the influence of drugs/alcohol
-
You fail to follow pre-treatment medical instructions.
These standards are required for client safety and insurance compliance.
5.5. Aftercare & Client Responsibility

Post-treatment instructions must be followed to reduce risk and ensure results.
-
derm360º is not responsible for adverse reactions or compromised results caused by:
-
Ignoring aftercare
-
External treatments performed elsewhere
-
Lifestyle factors (e.g., smoking, sunbeds, strenuous exercise post-treatment)
-
-
derm360º is not liable for results impacted by client behaviour or non-compliance.
5.6. Results, Follow-Up & Reviews
-
Injectable results may take up to 2 weeks to fully develop.
-
Review appointments (when clinically indicated) may be offered between 2–3 weeks post-treatment.
-
Reviews are not guaranteed top-ups. Enhancements based on preference are chargeable.
-
Any necessary corrections resulting from a practitioner error (e.g., asymmetry) will be addressed free of charge. Clients must report such issues within 2 weeks of the treatment date. Requests made after this period may be subject to standard treatment fees.
5.7. Refunds

Due to individual variability and the medical nature of treatment, completed treatments are non-refundable.

Refunds will not be issued for:
-
changes in personal preference
-
dissatisfaction with expected outcome where treatment was correctly administered
-
refusal due to undisclosed medical conditions or safety concerns
-
Refunds may only apply in cases of proven practitioner negligence.
5.8. Clinical Photography & Data
-
Photographs are mandatory for medical, legal and insurance documentation, and are not optional.
-
Images will not be used for marketing without your written consent.
-
All records are securely stored in accordance with data regulations.
6. £10 Redemption Voucher
-
Redeemable once on purchases ≥£100, with proof of Google review.
-
Issuance is at our discretion and may be withdrawn at any time.
-
Cannot be combined with other offers unless specified.
